1. Who we are
This policy describes how Inflect Systems LLC
("Inflect," "we," "us") collects, uses, and protects personal
information across our services, including the Inflect Insight
industrial analytics platform served at inflect.bot
and related subdomains. Questions:

2. Information we collect
We collect only what is needed to operate the service:
- Phone number — used to identify your account and deliver login verification codes via SMS.
- Email address — used for magic-link sign-in and account notifications.
- Display name — the name you provide at sign-in so your activity is attributable inside your facility.
- Facility code — which tenant (facility) you belong to.
- Questions you ask the chat — stored so admins at your facility can review answers and improve the knowledge base.
- Technical logs — IP address, user-agent, timestamps — used for security and debugging, retained 90 days.
We do not collect precise location, payment information, or third-party account tokens.
3. How we use your information
- Authenticate you via phone + one-time code or magic email link.
- Route you to your facility's documentation and chat history.
- Send operational alerts you have opted in to receive (see SMS & voice below).
- Enable tenant admins to moderate content and review answers.
- Detect abuse, enforce rate limits, and audit security events.
4. SMS & voice communications
We use Twilio to deliver SMS. SMS is used for:
- Verification codes when you sign in.
- Operational alerts directly related to your facility's use of the service (faults, shift digests, admin invites).
We do not send marketing SMS and do not share, sell, or rent mobile phone numbers or opt-in consent records with any third party for marketing or promotional purposes.
Opt-in is explicit. You opt in by ticking the consent checkbox on the sign-in page at demo.inflect.bot/login (or its tenant-scoped equivalent) before requesting your first code. Your facility administrator does not consent on your behalf.
Opt-out: reply STOP to any Inflect
SMS to stop all future messages. You can re-subscribe any time
by replying START. Honoring opt-outs is immediate
and automatic. We also honor STOPALL,
UNSUBSCRIBE, CANCEL, END,
and QUIT.

Message frequency varies based on your activity — typically one message per sign-in, plus any alerts you have opted in to. Message and data rates may apply. Carriers supported: AT&T, T-Mobile, Verizon, and most US carriers. Carrier-specific availability is not guaranteed.
5. Who we share with
We do not sell your personal information. We share with:
- Twilio — to deliver SMS (phone number and message body only). Twilio's privacy policy: twilio.com/legal/privacy.
- Resend — to deliver magic-link sign-in emails (email address and link only).
- Your facility's admins — they can see your chat history, feedback, and audit trail within your facility.
- Law enforcement — only when legally compelled. We will notify you unless legally prohibited.
Mobile information is never shared with third parties or affiliates for marketing or promotional purposes.
6. Retention
- Chat history and audit logs: kept for the life of your facility's account.
- Login OTP records: 30 days, then purged.
- SMS opt-in consent records: retained for the life of your account, plus 4 years after opt-out (TCPA recordkeeping).
- Technical logs: 90 days.
- You may request deletion of your account by emailing [email protected].
7. Security
Inflect enforces tenant isolation at the database level (row-level security), encrypts data in transit (TLS 1.2+), requires phone-possession or email-possession verification on every new session, and audits every administrative action.
8. Your rights
You may:
- Request a copy of the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data (we will act within 30 days).
- Withdraw SMS consent at any time by replying
STOP.
9. Changes to this policy
We will post updates here and, for material changes affecting SMS or alerting behavior, notify you via the platform on your next sign-in. Continued use after an update constitutes acceptance.
